KTU provides opportunities for university employees to go on short-term teaching or training visits by receiving an Erasmus+ grant to countries participating in the Programme (EU member states and third countries associated to the Programme) and other countries of the world (third countries not associated to the Programme).
The Erasmus+ programme supports the participation of academic and administrative staff in professional development activities abroad, as well as the participation of labour market professionals in teaching and training students or employees in higher education institutions.
It is aimed that all participants of the Programme can share their knowledge, gain experience of teaching in a new environment, develop new and advanced pedagogical, didactic and digital skills, establish relations with foreign colleagues, share good practices and strengthen cooperation between higher education institutions.
Eligible participants are academic and administrative staff, as well as invited staff from any enterprise, public or private organisation. In order to ensure high-quality mobility activities and their maximum impact, the mobility activity has to be related to the staff’s professional development and address their learning and personal development needs.
Any period of teaching or training abroad can be part of a blended mobility activity.
Blended mobility is the combination of a physical mobility with a virtual component. The virtual component enables the mobility participants to perform the intended tasks remotely, including these activities in the overall results of the visit. In the case of blended mobility, both forms of mobility are equivalent and the results achieved during them are equally recognized.
In the case of blended mobility, funding is allocated only to physical mobility, which is subject to the same requirements as in the case of the regular physical mobility.
Staff mobility for teaching provides the opportunity for academic staff to go on a teaching visit to any foreign higher education institution. A teaching period can be combined with a training period, while being considered as an overall teaching period. Duration of the activity is 2 days to 2 months of physical mobility, excluding travel time. In case of mobility involving third countries not associated to the Programme, the duration must be 5 days to 2 months. In both cases, the minimum days must be consecutive.
A teaching activity has to comprise a minimum of 8 hours of teaching per week (or any shorter period of stay). If the mobility lasts longer than one week, the minimum number of teaching hours for an incomplete week should be proportional to the duration of that week. The following exceptions apply:
In the case of a teaching visit (except for invited staff from enterprises), the “Erasmus+” inter-institutional cooperation agreement must be signed.
Staff working in a public or private organisation (which is not a higher education institution), active in the labour market or in the fields of education, training and youth, research and innovation can be invited for a teaching visit to KTU. The duration of the physical mobility is at least 1 day, the number of teaching hours is not determined, but it must be adequate for the teaching period.
The application for invited staff from enterprises is submitted by the responsible person of the receiving department at KTU.
Staff mobility for training provides an opportunity for academic and administrative staff to participate in training activities abroad related to their work and functions. This activity can be participation in training events (courses, seminars, trainings, etc.) or job-shadowing visits. Duration of the activity is 2 days to 2 months of physical mobility, excluding travel time. In case of mobility involving third countries not associated to the Programme, the duration must be 5 days to 2 months. In both cases, the minimum days must be consecutive.
Participation in conferences and research-related visits are not funded.
In the case of a training visit, the “Erasmus+” inter-institutional cooperation agreement is not required.
Funding for staff visits is awarded by the decision of the Selection Commission.
Selections are held 4 times a year. Deadlines for submission of applications are September 1, December 1, March 1 and June 1.
The applications are submitted in the Document and Process Management System (DPVS) → Žmogiškieji ištekliai → Erasmus+ paraiškos. You can also submit it on the Mobility-Online platform.
Only complete applications with attached letters of invitation from the host institution can be considered.
Applicants who disagree with the selection results have the right to submit an appeal by e-mail to the chairman of the selection committee within 3 days after the announcement of the selection results.
The Erasmus+ grant is awarded as a contribution to the subsistence and travel costs of the mobility participant. The support is not intended to pay the participation, training or other fees related to the mobility activity.
The grant is awarded as a fixed amount that does not depend on the participant’s actual expenses.

“Travel distance” includes the distance between the place of origin and the venue of the activity; “Amount” includes funds for travel from the place of origin to the venue of the activity and return.
Traveling by train, bus and car-pooling are considered ecological means of travel. Traveling by boat is not considered an environmentally friendly means of travel. In the case of multiple means of travel, a green travel is considered when the main means of travel (i.e. the major part of the trip) is eco-friendly.

The amount per day is calculated as follows: up to the 14th day of activity – amount per participant per day; between the 15th and 60th day of activity – 70% of the amount per participant per day.
The start date of the mobility period is the first day that the participant needs to be physically present at the receiving organisation and the end date is the last day the participant needs to be physically present at the receiving organisation. 2 travel days can be added to the duration of the mobility period and included in the calculation of the individual support if the travel days do not coincide with the activity days.
Additional support for mobility participants with special needs is granted after the mobility participant submits an application specifying the requested amount and justifying the necessary expenses. Support is granted on the basis of actual costs incurred.
The Letter of Invitation signed by a representative of the receiving institution must be attached to the application. Recommended templates are provided here, but any form of confirmation that includes the name of the invitee and the preliminary period of the visit is acceptable.
All mobility documents are processed and signed via the Mobility-Online platform. Logins to the employee account are sent after the application is submitted. After registering in the system, an employee account is created, where you can see all past and future visits, upload, download and sign documents.
After funding is approved, the employee and representatives of the sending and receiving organizations must sign a mobility agreement, which agrees on the period of the visit and its content. The signed agreement must be uploaded to the Mobility-Online account, only then the Grant Agreement and the information for the secondment request on DPVS is sent.
Documents confirming the visit (confirmation letter, travel documents) must be uploaded to the Mobility-Online account and attached to the secondment report on DPVS.
After the visit, the participant must submit the Online EU Survey within the period specified in the invitation.
The balance of the grant is paid after submitting the necessary documents and filling out the Online EU survey.
In the case of a teaching visit (except for invited staff from enterprises), the “Erasmus+” inter-institutional cooperation agreement must be present. In the case of training visits, it is enough to have an official invitation from the host institution, there is no need for an “Erasmus+” cooperation agreement.
The participants are informed about the results of the selection by e-mail within 10 days from the application deadline.
The Grant Agreement is prepared and signed after the participant presents a Mobility Agreement for Teaching / Training signed by all parties.
90 % of the grant is paid after the participant fills out a business trip application on DPVS. The remaining 10 % – after submitting the Online EU Survey.
The Programme contributes to the participant‘s subsistence and travel expenses. Other expenses related to the visit or its organization (participation fees, internal travel, etc.) must be covered by participants themselves. The grant is a fixed amount and does not depend on the costs actually incurred by the participant during the visit.
Staff from enterprises working in a public or private organization operating in any Programme country or other countries not associated to the Programme can be invited for a teaching visit to KTU. The application for the visit is submitted by the responsible person at the receiving department. The same conditions apply as for outgoing mobility, except for the minimum requirements for duration and number of teaching hours.
